From conversation to invoice

Watch one job move without the phone chase.

Scroll through one Monday service as it moves between Oliver and Maple Street Motors — from an AI-taken call to customer approval and an invoice sent for exactly what was done.

RevIXO keeps the record moving. The garage keeps control.

Saturday 12 September. One shared record.

The work changes hands.
Nothing gets lost between them.

The red marker follows the live job record: customer to garage, garage to customer, then back again. Every screen below follows that same record as the work moves.

This customer journey is staged from the real product using demo data. One customer, vehicle, booking and set of amounts are carried through every step.

  1. It can start with an AI voice conversation.

This first step is a walkthrough of the AI voice receptionist, shown here with example data — it’s in final live-call testing now. At 08:32, Oliver phones Maple Street Motors and speaks naturally with RevIXO’s AI receptionist. The AI hears his cold-start concern, states the £210.00 price including VAT, offers Sat 12 Sep at 10:00, and waits for his answer.

OliverI’d like to book my Civic in for a full service on . It’s sometimes slow to start on cold mornings too.

AII’ll add that note for the garage. That’s £210.00 including VAT for the full service.

AIWe have availability at on . Would that work for you, or did you have a different time in mind?

  2. The garage makes the booking real.

The voice call creates a Pending request — it does not confirm the booking. At 08:38, Maple Street Motors checks Oliver’s request in the confirmation inbox, then selects Confirm & send.

  3. Oliver gets a clear answer.

Only after the garage confirms does Oliver receive the confirmation text. There is no ambiguous “booked” message while the request is still waiting.

  4. The job sheet picks up where the call left off.

When the Civic arrives, Jack opens it from Today’s work. The real booking detail moves through Checked in and In progress, then holds the service and two findings in its completion panel. The AI transcript stays outside the workshop UI.

  5. The proposal leaves the job sheet.

Jack records what he found: the front discs have heavy scoring and a pronounced wear lip, and the battery failed its cold-start test. He attaches the disc photo and sends one itemised proposal at 10:35: required brake work at £188.00 and a recommended battery replacement at £104.50. RevIXO sends the secure approval link by email and SMS.

    Brakes: £72.00 discs + £38.00 pads + 1.2h labour at £65.00 (£78.00). Battery: £85.00 + 0.3h labour (£19.50). Proposal total: £292.50.

  6. One link. Two clear decisions.

Oliver opens the signed link without creating an account. The worn-disc photo appears with Jack’s explanation: “Inspection found heavy scoring and a pronounced wear lip on the front brake discs. We recommend replacing the front discs and pads together for safe, even braking.” Oliver approves the £188.00 brake work and declines the £104.50 battery replacement. Silence never counts as consent.

  7. The job sheet shows exactly what was agreed.

The proposal updates in real time. Its overall state is Approved; each item keeps its own Approved or Declined badge. Jack marks the brake work done. The declined battery replacement becomes an advisory and never reaches the invoice.

  8. The invoice contains only completed, approved work.

Completing the booking creates a draft invoice. The £210.00 service plus the approved £188.00 brake work totals £398.00. The declined £104.50 battery replacement stays off it. The garage reviews the draft and sends it to Oliver.

RevIXO is pre-launch. The AI voice receptionist is a £99 per-garage monthly add-on for Professional, Growth and Enterprise, with 300 included minutes and no automatic overage. It’s in final live-call testing now; founding pilot garages switch it on first. Customer SMS delivery depends on the garage’s package and consent settings.
