From RevIXO · quoting and AI

What makes RevIXO different: an AI that quotes, and learns from your jobs

Plenty of software can find a customer a slot. The question most customers start with is “how much will it be?” RevIXO is built around answering that honestly: from your prices rather than a generic database, and more accurately with every job your garage completes.

The question every customer asks

Booking a slot is the easy part. The hard part is the price. A receptionist, human or AI, that can't say what a job costs hands the question straight back to you, and a customer who can't get a price may well try the next garage instead.

So the most useful thing an AI can do at the front of a garage isn't only to fill the diary. It's to give the customer a price they can trust, and to know when it shouldn't give one at all.

It quotes from your prices, not someone else's

RevIXO's AI receptionist quotes only what your rules allow. For each service you decide how it can be quoted:

  • A fixed price, the same for every car;
  • A price by vehicle type, because a small hatchback and a large SUV rarely cost the same to service;
  • Never guess: book an inspection, for anything that needs eyes on the car first.

MOT prices stay fixed to what your garage sets. The AI can't see your costs, stock or margins, and it never makes a promise only your garage can make: sending the confirmation and quote to the customer is a step your team takes, not the AI. It works in the AI web receptionist included with Professional and Growth, and in the AI voice receptionist add-on, which is in final live-call testing now.

When it doesn't know, it says so

A confident wrong price is worse than no price. When a customer describes something that genuinely needs a look, such as a knock over speed bumps or air conditioning that's stopped blowing cold, RevIXO doesn't invent a figure or offer a ballpark. It logs the symptom in the customer's own words as a diagnostic enquiry and routes it to your team for a proper quote.

That restraint is deliberate. It's what lets you trust the prices it does give.

It learns from the jobs you complete

Most garage software is a filing cabinet: it stores what happened and leaves the thinking to you. RevIXO uses your completed jobs as evidence of what your garage actually charges, per vehicle type:

  1. First quote: a careful range. Before your garage has completed enough jobs like it, RevIXO quotes a range rather than an exact figure.
  2. A few jobs in: a tighter range. Each completed job on that vehicle type narrows the range toward what you really charge.
  3. Pattern holds: a proposed price. Once a clear pattern holds, RevIXO proposes one price for that job and vehicle type, and puts it to you.
  4. You approve it. Nothing is learned without a one-tap approval.
  5. From then on: your approved price. RevIXO quotes it until new completed jobs, and a fresh approval, justify a change.

It learns from your own job history, not a third-party labour-time database. A book time isn't your price; what you charge is.

The same idea runs through the rest of the workshop. A photographed supplier invoice produces a reviewed preview matched to your parts catalogue, and stock and cost only update once you confirm it.

You stay in charge of every change

Software that quietly rewrites your prices would be worse than software that never learns at all. So RevIXO never changes a price by itself:

  • every proposal names what changed and sits in your queue until you approve it or leave it as it is;
  • a favour price, a rush job or a one-off becomes review evidence, not an automatic lesson;
  • a real gap between a quote and the final invoice is logged as a variance alert with a plain-English reason, for your team to review;
  • a single switch turns the AI on or off, and bookings, quotes and changes are recorded in an audit trail.

A quote is always a staged estimate, never a bill. The invoice reflects the work actually done, and every booking remains a request for your garage to confirm.

Questions to ask any AI receptionist

Whichever software you're looking at, ours included, these questions show quickly how far its AI really goes:

  • Can it tell a customer what a job will cost, or only book a slot?
  • Whose prices does it quote: yours, or a generic database?
  • What does it do when it genuinely doesn't know the price?
  • Does it get more accurate over time, and who approves the changes?

Quoting and learning questions, answered.

Does RevIXO's AI quote prices on its own?

Only prices your garage has set or approved: a fixed price, or a price by vehicle type. Anything it can't price with confidence, such as a diagnostic symptom, is logged for your team to quote instead.

How does RevIXO learn what my garage charges?

From your own completed jobs. It starts with a careful range, tightens it as jobs of the same type are completed, and proposes a single price once a clear pattern holds. Nothing changes until your garage approves it.

Can a one-off favour price change future quotes?

No. Unusual results are flagged for review rather than learned automatically, and a price only changes after someone at your garage approves a proposal.

See it quote from your own price list.
